What We Need for On-Site Studio Headshots at Your Office or Event

One of the most common questions we get asked before a headshot booking is:

“How much space do you need?”

The short answer is usually more than people think.

Whether we are setting up in an office meeting room, conference space, exhibition hall or event venue, creating great headshots on site requires enough room for lighting, backdrops, movement and a comfortable experience for the people being photographed.

A polished headshot station should feel calm, organised and easy to move through. When people feel relaxed and not rushed, the photos are always better.

Our Ideal Space Requirements

For a full studio-style headshot setup on site, we generally need:

  • Ideally 4 metres wide, 7 metres deep (the absolute minimum space we need is 3 x 4m)
  • Access to nearby power
  • Wi-Fi access when we arrive for setup and tethering
  • Enough ceiling height for lighting and backdrop stands
  • A desk to set up our laptop for camera tethering
  • A safe place nearby to leave gear cases and bags

This allows us to comfortably fit one complete headshot station with:

  • Backdrop and stand system
  • Professional lighting setup
  • Camera and tethering station
  • Space for people to wait nearby
  • A viewing screen if required
  • Branding signage or styling elements
  • Chairs, plants or furniture if you would like a more lifestyle-style look

Why We Need More Space Than Expected

A studio setup is more than just a backdrop against a wall.

To create flattering light, we need enough distance between the subject, the backdrop and the camera. This helps us avoid harsh shadows, create depth, and give people enough room to move naturally.

We also need enough space around the setup so that people can walk through comfortably, queue if needed, and not feel like they are standing in the middle of a busy room.

At events, this becomes even more important. If the space is too tight, it can slow the flow of guests and make the experience feel rushed.

Great Locations for On-Site Headshot Setups

We have created headshot stations in all kinds of spaces including:

The most important thing is that the area is relatively quiet, easy to access and large enough for us to build a professional-looking setup.

What If You Don’t Have Enough Space?

If space is tight, don’t worry – just let us know.

We can often adjust the setup depending on the location and the style of imagery you are after. In smaller offices, we may recommend:

  • A more compact backdrop setup by using a wall instead
  • Using natural light instead of a full studio setup
  • Shooting against an existing wall or architectural feature
  • Creating a more environmental or lifestyle-style headshot
  • Booking a nearby studio space instead

Helping the Day Run Smoothly

A few simple things can make a big difference to how smoothly your headshot day runs and how confident people feel in front of the camera.

Don’t Stress About the Small Things

We know not everyone feels completely camera-ready on the day, and that is completely normal.

If you wake up with a pimple, a scratch, a bruise, a black eye, frizzy hair or something that feels out of place, please do not stress. These are all things that can usually be fixed in post-production.

The most important thing you can bring is a good vibe!

Send Employees Tips for What to Wear

We always recommend sending staff a simple clothing guide before the shoot. This helps people feel more prepared and confident, and usually leads to a much more polished final gallery.

Send Reminder Emails or Texts the Night Before

A quick reminder the day before can really help keep the schedule moving.

It is always worth reminding people of:

  • Their allocated time slot
  • What to wear
  • Where to go
  • To bring a brush, makeup touch-up items or anything they may want on hand

Headshots can feel intimidating for some people, especially if they do not love being in front of the camera.

Playing music, keeping the energy light and making the setup feel welcoming can make a huge difference. We find people relax much faster when the space feels upbeat and easy-going.
